This role will serve as Administrative Assistant to the Imagine This! business owner, as well as manage day-to-day office tasks to keep the office running smoothly. This role is well-suited for someone that loves organization, is detail-oriented, and thrives in a fast-paced, constantly changing environment.  

The perfect candidate will find ways to have fun every day, have a sunny disposition and be an excellent listener. The ability to handle confidential information in a professional manner is also a requirement. 

Daily Responsibilities will include:

  • Answering phones and serving as the front desk receptionist, greeting clients and guests
  • Organizing meeting schedules
  • Bookkeeping responsibilities such as accounts payable, accounts receivable, credit card reconciliation, client payments, etc.
  • Managing office supplies 
  • Help organize office activities
  • Special projects and other odds and ends to help the office run smoothly!

Our ideal candidate will:

  • Have prior experience working as an administrative assistant with bookkeeping experience
  • Have excellent communication skills, both written and verbal
  • Be a generally happy, optimistic person with a sunny disposition and outgoing personality
  • Thrive when given the opportunity to organize and streamline processes
  • Have the capacity to handle highly confidential and sensitive information with discretion

Your skillset should include:

  • Bachelor's Degree from an accredited college or university preferred
  • Proficiency with Word and Excel, or Mac counterpart
  • Proficiency with Social Media Platforms and Google Applications
  • Ability to quickly learn new systems and processes
  • Strong verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Demonstrated ability to work effectively and diplomatically with colleagues, as well as with customers and corporate contacts
  • Ability to manage sensitive and confidential situations and information with absolute discretion
  • Ability to maintain calm and courteous demeanor and to work productively despite heavy workload, competing priorities, complex problems, and tight deadlines
  • Excellent problem-solving skills; attention to detail
  • Ability to follow an issue through to resolution
  • Ability to take initiative to organize and complete projects with minimal supervision
